Import Appraiser Spreadsheets

This topic explains how to import appraisers from prefilled spreadsheets.

You can use this feature to import appraisers that are defined in an existing spreadsheet saved in the .csv file format. There is also an option for outputting either a set of blank .csv files for each challenge or existing appraisers if already assigned.  From the Tournament Summary Window select File, then Create Appraiser CSV files

As always, be sure to back up the tournament directory before and after importing an appraiser list.

You cannot use this feature to copy an individual appraiser from an appraiser list.

To Create blank or existing appraiser .csv files:

  1. In the Tournament Summary Window, select File, then select Create Appraiser CSV files.
  2. A folder named Appraisers_Spreadsheets will be created in your Tournament Folder within the Scoring Program 2021 folder.

    If that folder already exists you will be asked if you wish to overwrite existing files (in that folder). If you reply with "No," nothing will be created anywhere.

    Once an Appraisers_Spreadsheets folder has been created, you may rename that folder in order to come back and create another - the newest one will always be named Appraisers_Spreadsheets.

  3. One CSV file will be created in the Appraisers_Spreadsheets folder for each Team Challenge for which you have Teams in your Tournament - for example, A-NEXTLEVEL_Appraisers.csv. One additional file - IC_Appraisers.csv - will contain IC appraisers for each chalenge and level.

  4. If you had NO TC or IC appraisers assigned when you Created the .csv files - call these the "blank" files. You could provide these blank files to your Challenge Masters so they could "fill in" the Appraiser names and assignments and return these files to you prior to the Tournament Day. Always assure them that last minute changes can be made before the first scores are entered - this is not a "trap" to assign Appraisers before challenge site plans are finalized!

    This is an electronic substitute for printing the paper Appraiser Assignment Sheets for each challenge and level, then distributing them to your Head Appraisers or Challenge Masters. Once those printed sheets are returned to the score room, that information may be entered manually as described in Add an Appraiser.

  5. If some or all of your TC and/or IC appraiser assignments have been entered before you Create these .csv files, you have made either 1) a "record" of what you are doing or 2) a tool for importing this information to another computer or set of computers for your Tournament.

To import from existing appraiser .csv files:

  1. In the Tournament Summary Window, select File, then select Import Appraisers from CSV files.

  2. In the Import External Appraisers from CSV files dialog box, you'll probably need to browse to the folder containing the Appraisers_Spreadsheets - or whatever you eventually named it.

    You must double click on the folder icon before the folder name so that the folder name becomes visible on the "Look in" and "Folder name" lines on your screen, then select Open to continue.

  3. In the following dialog box, select the TC and/or IC challenges and levels (by checking or un-checking the boxes at the left of the list - the default is to import all the Appraisers that were found) from which the appraisers are to be imported, then select OK to approve your choice.

    This import function is an appraiser merge/replace function. If an appraiser already exists, what they are scoring will be updated only if different from what they are appraising already. If a new appraiser is found in the .CSV, they will be added. If an appraiser is missing from the .CSV, but is already in the program, they will remain in the program. The user will have to use the appraiser editor to remove any appraisers.

    If Instant Challenges were already defined in your "source" tournament, these will also be copied to the "destination" tournament, along with those appraisers' names and assignments.

    Note:

    If Instant Challenges were already defined in your new or "destination" tournament, these "source" tournament Instant Challenge definitions will be IMPORTED along with any assigned appraisers, WITHOUT ANY WARNING.

    The import of these Instant Challenge definitions and appraisers will overwrite what you previously had established in your new tournament!

    Keep this in mind when you plan your sequence of imports - before or after your IC definitions.
